This manual provides all the key details you need to prepare for your session; including logistics, deadlines, and technical requirements. SPEAKER INFORMATION
REQUIRED INFORMATION
As a speaker at Africa Tech Festival 2025, your profile plays a key role in promoting your session and engaging with the audience. If you have not already done so, please send the following information to YOUR OPERATIONS CONTACT as soon as possible:
- Short Biography: Provide a concise biography (around 100 words, not a CV) for inclusion on the website and to ensure the Chair can introduce you correctly.
- Headshot: Submit a high-resolution, colour photo in digital format (JPEG, PNG, or GIF).
- Verification: Check that your biography and photo are correctly uploaded on the speaker listing. If there are any issues, please reach out to us.
Additionally, please provide:
- Mobile Number: In order for us to contact you on-site in case of an emergency.
- Dietary Requirements: Specify any dietary needs.
- Special Assistance: Inform us if you require specific assistance at the venue.
YOUR REGISTRATION
To access the event, you must register for your Speaker Pass. You will soon receive an email from our registration platform, sent by info@africatechfestival.com, with instructions to complete your registration.
Please note that even if you registered last year, you will need to register again this year, as the system does not import accounts from previous events.
If you require a visa invitation letter, you can request it during the registration process. The letter will be included in your email confirmation for your convenience.
VISA INVITATION LETTER
If you require a letter of invitation to support your visa application, we are happy to assist! During the registration process, you will see an option to request a visa invitation letter by ticking the appropriate box. Once selected, you will receive your visa invitation letter via email shortly after completing your registration.
If you forget to request the letter during registration, you can log back into the platform at any time to send one to yourself.
Please note:
- It is your responsibility to check visa requirements for entry into South Africa and complete applications well in advance of the event.
- Visa processing times can vary, so early applications are strongly recommended to avoid any issues.
- Informa /Africa Tech Festival cannot take responsibility for the issuance of visas or assist with applications beyond providing the visa invitation letter.
To further support your visa application, we have partnered with Niche Dynamics, a trusted service provider specializing in visa assistance for Africa Tech Festival 2025. Niche Dynamics can:
- Provide supporting documentation from a South African company.
- Compile and ensure your application is compliant.
- Upload applications online with the Department of Home Affairs.
- Secure your VFS appointment.
- Follow up with consulates or embassies to ensure timely visa outcomes.

As a valued speaker, you will receive a complimentary Speaker pass granting access to the main event features, including:
- Headline Keynotes Stage
- All 9 event agendas including paid for content (The AI Summit Cape Town, Telcos of Tomorrow, Connectivity & Infrastructure, Data Centres, AfricaCom Centre Stage, AfricaTech Main Stage, Cloud & Cybersecurity, Industries of the Future & AfricaIgnite Main Stage)

* To attend AFest, please register your interest with your speaker manager, as availability is limited and offered on a first-come, first-served basis.
Important Note: Speaker badges do not provide automatic access to the following invite-only events:

These events require separate registration, and attendance is subject to specific criteria. For more information, please contact your operations manager or refer to the event guidelines.
YOUR ROLE
Please arrive at least one break in advance (20 minutes) of your session and adhere to the following guidelines based on your role.
You can check your session(s) on the latest agenda here. If you have any questions regarding the agenda, please contact the producers.
YOUR ROLE - STAND ALONE PRESENTER
To ensure a smooth presentation, please follow these guidelines:
Presentation Submission:
- Submit your presentation files by 20th October via our Dropbox here.
- Rename your file using the format: "speaker name_organization" before uploading.
- Files must be PPT and not PDF.
- Notify your speaker manager via email once the file is uploaded.
Equipment Provided:
- A laptop, data projector, screen, microphone, and remote mouse will be available.
- Presentations will be made from a centralized laptop.
- Comfort monitors in the room will display a direct relay of the screen but cannot show notes.
- If additional equipment is required, please inform us in advance.
Presentation Guidelines:
- Submit presentations in English, formatted in 16:9 with a minimum font size of 24 for legibility.
- Avoid submitting PDF files as it can't display in the system.
- Provide any custom fonts by 20th October.
- Videos should be in .h264 format (.mov or .mp4) in the highest resolution possible. For other formats, consult your operations contact as soon as possible.
- Ensure your presentation fits within the allocated time, including 5 minutes for questions.
Using Personal Devices:
- If you wish to present from your personal Mac computer, you will need to bring your own adapter to connect to the system.
Backup and Availability:
- Bring an updated version of your presentation on a USB drive as a backup.
- If you prefer your presentation not to be made available on the conference website or event app, please inform us.
Venue WiFi:
- Do not rely on the venue WiFi for your presentation, as it may be unstable. Please ensure your presentation is fully downloaded and accessible offline.
Filming and Consent:
- Some sessions may be filmed. If you do not wish to be filmed, notify us in advance.
Arrival:
- Arrive at least one break before your presentation to ensure everything is set up and ready.

YOUR ROLE - CHAIRPERSON OR MODERATOR
Pre-Event
- Information Pack: Chairs will receive an information pack prior to the event, including housekeeping guidelines and health and safety protocols.
- Introductions: Producers will connect moderators with their panellists to facilitate introductions and pre-event coordination.
On the day - Chairperson
- Briefing: Provide a briefing on health and safety protocols and housekeeping guidelines.
- Track Management: Open and close the track, ensuring smooth transitions between sessions.
- Speaker Introductions: Introduce standalone speakers and moderators to the audience.
On the day - Moderators
- Welcome and introduce panellists to the audience.
- Provide an introduction to the subject matter and moderate the panel discussion.
- Facilitate audience engagement by including questions from the floor.
- Wrap up the session with closing remarks and hand back to the Chair.
Note: it is assumed that Chairs and Moderators will not use slides. Should you wish to use slides, please consult with your operations manager.
YOUR ROLE - PANELLIST
- Introductions: The producer will connect you with the moderator and other panelists to facilitate introductions.
- Discussion Preparation: Collaborate with the moderator and fellow panellists to discuss and finalize the questions to be addressed during the panel.
Note: Panellists are NOT required to submit slides for their session.

The event app will be launched and available to all to ensure you have enough time to complete your profiles and familiarise yourself with the functions. Our team will be on hand throughout the whole process to ensure you get the best experience possible!

PLAN YOUR TRAVEL
Getting to the CTICC is easy as Cape Town is a dynamic, cosmopolitan city with well-established transport systems in place. The CTICC is also conveniently located in the central business and entertainment hub of the city, and is close to many major attractions, and places to stay and eat.
VEHICLES & PARKING
With over 1400 secure visitor parking bays available, making your way to CTICC events is that much simpler. Accessible parking bays are available in P3 and P5 Parking.
Parking is charged at an hourly rate, and guests are required to use the convenient pay-on-foot parking ticket kiosks to pay for their parking.

CODE OF CONDUCT

Please be considerate and careful with your words and actions. Exhibitors in the expo hall, evening party hosts and organizers of concurrent activities should be aware they are subject to the code of conduct. Exhibitors and party hosts may not promote sexualized or offensive imagery or activities. Exhibition and party staff should not use sexualized clothing/uniforms/costumes, or otherwise create a sexualized environment. Participants asked to stop any behavior are expected to comply immediately. If a participant or sponsor engages in behavior that violates this code of conduct, Informa Festivals staff may take action they deem appropriate, including warning the offender or expulsion from the event with no refund.

VIDEOGRAPHY & PHOTOGRAPHY
By registering for this event you acknowledge recordings, video, and photographs are being taken during the event. By you entering this event, you give unqualified consent to: Informa Festivals, its agents, licensees to record, use and publicise your voice, actions, likeness, and appearance, in any manner and media, worldwide in perpetuity. If you wish to avoid being recorded, please do not enter this event.
DATA PROTECTION
Informa Festivals do not sell, nor distribute, attendee contact information in accordance with established privacy policies. Any company claiming to have such information to sell is not affiliated with Informa, and do not have access to our confidential records.
CHILD ATTENDANCE POLICY
Africa Tech Festival is open to delegates aged 18 and older. Children aged 16 and 17 and infants under the age of 2 may attend only when accompanied by a parent or legal guardian. Entry will not be permitted unless the parent or legal guardian completes the Informa Festivals Child Attendance Waiver, which must be requested from the Registration Team at info@africatechfestival.com before the event.
Please note:
• Children aged 2 to 15 are not permitted at Africa Tech Festival.
• Parents/guardians must present valid photo ID when entering the event with a child.
